System

In the menu System you will find:

  • User management
  • Project management
  • Overview usage all projects
  • Invoice settings global invoice numbering and availability Journal entries feature

The menu System is only visible for system operators.
The table you see at the tab System provides you with an overview of all project and the rights the users have on those project.
Only a system operator has the right to add new project, new users and delete both them.

By checking the checkbox below the username, someone becomes a system administrator and immediately has all rights to all projects. If you want to grant someone fewer rights or only rights to specific projects, choose one of the user roles in the checkboxes below for each project. If someone is already a system administrator, uncheck the checkbox below the username to reveal the different user roles per project.

 

User management

Adding a user is done by clicking: “+add user” in the blue bar.
Now add the email address of the new user.

Automatically a mail will be sent to the new user with instructions to log in and make a password. If the user has already access to the system in another customer environment his or her existing logging in data can now also be used to log in for the new environment. The user gets an automatic message he is granted access to the new customer environment.
In the project drop down a user sees only those project where he or she has access to.

In the log in screen a user can request a new password in case the password is lost. When pressed the button a mail is send wit a link to log in and change the password. This link can only be used once and no passwords are being mailed for security reasons. If a user does not receive a mail in the inbox changes are big that the mail is delivered in another folder such as the advertising of spam folder.
Some mail clients block the password link in the mail, please take care to first whitelist Easydus and only then push the Lost password button. The link will be sent again.

 

Project management

Existing projects
Clicking the magnifying glass just before a specific project brings you to the Project settings.
It is the same screen you will see by clicking the menu Project.
Only system operators and project owners will see the menu Project. The difference is that System operators can copy a project and project owners cannot copy a project.


New project

After clicking ‘+New Project’ a name for the new project kan be given. In case you want to generate invoices and want to link the payments via Sisow in the tab Payment Link you have to fill in the Sisow ID and Sisow key and checkmark the payments methods. This can be done when making the new project, but can also be done later. After the project is made user rights can be defined.


 

Domains

In order to improve the level of delivery and to avoid ending up in spam boxes it is necessary that your DNS settings of your domain are optimized for mailing via Easydus and its mailer Mailjet. See menu DKIM-SPF settings for more information.
To get these settings right it is important that all domains you want to use as a sender address have those DNS setting. Most of the time the person taking care of your website hosting is also responsible for the DNS settings for mailing. 

In this tab you can see which domains have been set by you and whether settings have been done properly. And you are able to add new domains and send a technical instruction to the person responsible to add code in the DNS settings.

How to send instructions?

  1. Go to menu Systeem, tab Domains
  2. Choose Add domain in the blue bar, in case of more domains than one, also add these domains
  3. Fill in your own data, those of your contact, and checkmark the instructions regarding the domains you want to send to this contact. You will now see that the tamplate mail is filled with the relevant data.
  4. Choose Send instructions in the blus bar
  5. Check after response of your contact whether the instructions are handled correctly

 

Usage


In this tab the number of registrations and number of mails can be seen per project. Only project with any usage in the year will be shown.
In case you would like to rework these data, it is easy to select and download the data in an Excel sheet.

Setting global invoice numbering
In an invoice-template in the menu Documents per invoice can be defined whether the invoice should make use of the global invoice numbering or not. Global invoice numbering means that all invoices are sequently numbered when sending these invoices, over all the projects where on the invoice-template is chosen for Global invoice numbering: Yes.

In this tab you can define how the invoice number of the global invoice numbering should look like:

  • Number of next invoice
  • Digit count: number of digit positions used in numbering
  • Prefix is the text before the number
  • Suffix is the text behind the number

 

My data

In the tab My Data contact data of the organization, contact person or invoice data can be changed easily.
