Before the audit, the site’s primary contact should ensure that appropriate staff have made time in their schedules to be available at particular time during the audit. The auditors are able to work independently for the majority of the audit, but interaction with the data management staff is necessary at the following times:

  • Upon arrival of the auditors, a brief opening meeting will be held with the primary data manager contact (usually lasting 15-30 minutes) and should include a brief tour of the work space and recipient charts.
  • Throughout the audit, the data manager should be available in-person, by phone, or by email to assist with locating missing documentation or answering auditor questions.
  • A closing meeting is held at the end of each audit to review the audit process, post-audit procedures, and initial findings. This meeting is most helpful for staff completing the forms, but is open to all transplant center staff. This wrap-up session usually lasts 1-2 hours and includes time to answer center staff questions regarding the audit or data reporting.
  • If the Medical Director is not able to attend the wrap-up session, the auditors can provide a brief overview at his or her convenience prior to completion of the audit.
