The harmonization setting provides enhanced control over processes by maintaining the associations linked to a specific version of a process, even if there are newer versions of the associations.
When a level of strictness is selected for a process, any changes to the linked associations will mark the process as Out of Sync. This status is indicated by a box on the details page.
Conditions for a process to be Out of Sync
- The process must have a strictness/control level set to Moderate or High.
- The process must be either Published or in an Approval cycle.
- At least one association must have a new published version.
For example, if a process is published at version 4.000 with an associated document at version 2.000, and the document is later re-published at version 3.000, the process will become out of sync.
How to Synchronize Processes
The Out of Sync box contains the associated objects that need to be reviewed and synchronized:
- Click on the object’s name
- A preview window will appear.
- Click on the ‘Show Changes’ button.
- This will highlight the changes made to the object.
- What is highlighted in green was added, and what is highlighted in red was removed.
- After reviewing the changes, click on the checkbox of one or more of the listed object(s). You can either:
- Create a Change Request
- Synchronize
