In the case of an advance already invoiced with a specific VAT rate, the automatic exit can only occur on accounts with the same VAT rate.
Where the above-mentioned assumption does not exist (always verified by the system!), it is suggested to release the deposit from the file, carry out a Deposit Refund/Cancellation operation, and issue the final bill gross of the deposit (the operations must be carried out on the same working day, to ensure the balancing of the accounts).
We will see how the automatic exit of a deposit is carried out during Check Out.

  • Case 1: The deposit total value is equal to or less than the total of the bill to which it is attached
  • Case 2: The deposit total value is greater than the total of the bill to which it is attached
  1. Display the details of the Deposit attached to the selected file.
    Each deposit register displays year of registration, internal number, references to the associated fiscal document, amount, attachment file (customer account or company account), and any previous use or output.
  1. Specification of the amount of the ‘locked’ payment on the displayed bill
    Exclusively for Deposits (not Earnest Money), this field will always be marked as zero.
  1. Specification of the Total of Services already invoiced to the Guest (Deposit amount)
    This field shows the amount of services already recorded for tax purposes to the guest with the deposit document, and available for the selected bill.
  1. ‘Attach’ button
    The button allows integrating the selected procedure with an already registered deposit or Earnest Money, avoiding inconvenient intermediate steps.
  1. ‘Release’ button
    The button allows to quickly proceeding with the release of the deposit from the selected bill, avoiding inconvenient intermediate steps.
    The function is useful for the user to ‘release’ the deposit momentarily, and make it available for new uses or for making refunds.
  1. Specification of the Total Services charged to the Guest
    The total amount of used services. If this amount is lower than the amount of the advance, the system signals the ‘anomaly’ by marking the field with an orange background colour (see picture for case 2). In point 9, the peculiarities of the case are illustrated.
  1. Specification of the Total amount due to be issued
    Total of the Consideration, net of Deposit.
  1. Specification of the Total Amount to be collected
    The system automatically proposes the amount to be collected, net of the prepayment already invoiced. ‘Print’ button, useful for confirming the output of the bill net of the attached Deposit
  • Case 1: The system provides the issuing of the bill, and the automatic output recording in the general management of prepayment (as described in section Advance Payment Output)
  • Case 2: The system, before proceeding with the issuing of the bill, shows the following warning to the user:

Attach the difference for reuse: The system makes a split on the initial deposit: a part is used to close the bill that the user is printing, and the remainder is automatically re-attached to the same file, so that it can be reused to close other bills (customer account/company account). For the part used to close the printed account, the system automatically records the output in the general management of the prepayment (as described in section Advance Payment Output)

Do not re-attach the difference: The system splits on the initial deposit: a part is used to close the bill the user is printing, and the remainder is automatically released from the file, so that it can be reused for other booking files or a Deposit Refund.
For the part used to close the printed bill, the system automatically records the output in the general management of the prepayment (as described in section Advance Payment Output)

Cancel Print: In this case, the system cancels the current bill issuing operation.
