The expression ‘Advance Payments Output’ implies the registration of the use of an advance, total or partial. Logically, this entry makes the amount of the advance used no longer available for new procedures.
The Output recording can be performed in two ways:
- Output in Automatic Mode: The system automatically writes the entry of successful use at the time the bill is issued. The sections Automatic Deposit Output and Manual Earnest Money Output of the text are specific for the topic.
- Output in Manual Mode: The entry of successful use is written by the user with a manual recording. The need for a manual registration can be dictated by errors in the procedure for managing the user’s prepayment (e.g. failure to close the advance to the referred bill and discrepancies in the day’s cash account). For details on how to make the manual output, we suggest to consult the sections Manual Earnest Money Output and Manual Recording of Deposit Output of this chapter.
Whatever the method adopted for writing the ‘closing’ advance entry, the user is able to view the details in the FO > Deposits Management screen, in the box indicated below.
For each incoming recorded advance, the corresponding output writing reports.

These references can be:
- written automatically by the system, as indicated in sections Automatic Deposit Output and Manual Earnest Money Output of the manual
- written by the user, as indicated in sections Manual Earnest Money Output and Manual Recording of Deposit Output of the manual.
- Entry Record Code
I = Incoming Advance
O = Outgoing Advance
R = Advance Return
- Amount of the advance used in the output Entry
- Output Entry Registration Options
The flag on this field informs whether the advance output registration occurred automatically or manually.
