Profile
See Paragraph Companies Agencies Personal Profile The “Profile” form of Companies and Agencies profiles consists of three sub-forms. Each one is used to collect extra information that is essential for an efficient organisation of the data archive and for the creation of targeted commercial actions that will be carried out by using E-marketing tools.
Agreements
See Paragraph Companies Agencies Agreement Form By filling in this section of the business profile form, it is possible to activate some automatic mechanisms of the System, both during mailing services (Reference Addresses), while booking (preferential agreements and/or counting of available or sold allotment rooms). Those mechanisms can also be triggered during the supervision of accounts receivables and commissions (calculation of commissions due for any booking done).
Contacts
See Paragraph 2.1.5. In the Contacts file of the Company/Agency profile, it is possible to provide the names of the company contact for bookings, business or managing issues, and telephone numbers.
Hotels Data
See Paragraph Companies Agencies Hotel Data Form In the Hotels Data form, it is possible to add some automatic mechanisms to the business profile that can improve its functioning, with the possibility of differentiating these mechanisms according to the hotel facility code.
Sales
See Paragraph Agencies Companies Sales Form This section, which is divided into 3 more sub-sections, enables the sales team to record, in each profile, its Sales activities (both those already carried out and those planned), and to check the production data funded.
Documents
See Paragraph Companies Agencies Document Form In this profile section, there are two sub-forms. The first one is used for storing, in the archive, all the documents concerning the company selected, in order to enable users to consult and share them (e.g. Pdf copy of an ongoing agreement). The second one is used for consulting and displaying all the fiscal accounts issued for the selected company.
Profile History
The folder History of the Company/Agency profile is a view-only folder: here, all the operations carried out by the users are recorded.
Found Records List
This icon activates itself every time the search done gives multiple results.
If, for instance, we do search and the parameter is company name = ‘UVET%’, it is highly probable that multiple records having a company name starting with UVET appear. By clicking on the “Found Records List” icon, it is possible to view the active records list, which can satisfy the given search criteria. We remind the symbol ‘%’ corresponds to the symbol ‘*’ in Scrigno, which can be used in Windows and identifies the so-called “wild character”.
Advanced Search
By clicking this button, it is possible to do some specific preview searches: for instance, it is possible to produce a specific sample and/or a specific profile list that have some peculiar aspects in common, such as the internal business contact person, or the greater production achieved in a specific calendar year.
SAVING A PROFILE
Profile saving can be done in two ways:
After the upload, it is possible to save the profile by clicking the button shown here.
After the upload, it is possible to save the profile by pressing the F10 key.
SEARCHING FOR A PROFILE
To search for a profile inside the archive, proceed as indicated below.
Click on the specified Search button
Give at least one search parameter (e.g. Company Name, city, guest type, etc…).
This parameter can also be given only partially, such as:
case a) the first three letters of the company name
case b) the last three letters of the company name
case c) the three central letters of the company name
In case the parameter given corresponds to just one part of the searched word, we always suggest typing the symbol “” next to the letters provided. In order to explain the procedure better, see the example of the search for “FIAT AUTOMOBILI”, by giving partial search parameters:
Click the button and insert the partial search parameters:
case a) FIA* on the ‘Company Name’ field
case b) ILI on the ‘Company Name’ field
case c) %*MOBI on the ‘Company Name’ field
So click on the same button used before, which is momentarily divided by the program into two command sections:
To delete the record, click this button and save the operation by clicking ‘Save’, or by pressing the F10 key.
Whenever you wish to delete a record from the profile, the system checks the database in order to decide whether to proceed with the permanent deletion of the record or with just a ‘logic deletion’ from view.
The permanent deletion of the record is possible only if the profile has never been used. If the record has already been used, even though just once, only the ‘logic’ deletion will be allowed. By “Deleting Logically” in SCRIGNO, data are hidden from view and, at the same time, are available for any possible restoration or future reactivation. Paragraph Further Details and FAQ.
