Capturing Session Data and the EC Hub App

AARP Foundation Experience Corps expects volunteers to complete session logs daily for each student served. Session logs, which document the volunteer’s tutoring time, are a critical element of tracking student achievement that may be reviewed by program staff, teachers, team leaders, literacy coaches and substitute tutors. Session logs document teachers’ and students’ names, dates and times of service, attendance, as well as information about the activities covered during the tutoring session. In the EC Hub virtual tutoring app, the form includes both “check” boxes and fields to write notes and observations. Volunteers are encouraged to provide as much detail as possible and use session logs as tools to track their own work and progress.

The EC Hub is a virtual tutoring application built into our Salesforce database that was designed to support program scheduling, facilitate communication and links for sessions, support data gathering and provide a single point of entry for virtual tutoring. Our focus in designing the EC Hub app included:

  • Improving volunteer and staff experience with technology
  • Increasing digital literacy of volunteers and staff
  • Creating the ability to send AARP/EC announcements to volunteers
  • Automating elements of session logs, including book title, book level filtering and automatic capture (no need for typing)
  • Creating ease through Chromebook integration (seamless access across devices)

Though the EC Hub was initially designed simply to capture data, it continues to grow as a tool to support delivery and management of high-quality tutoring.

Providing Feedback for Evaluation

AARP Foundation Experience Corps expects volunteers to provide feedback to help us evaluate and improve our program. Volunteers will occasionally be asked to take surveys throughout the year so that we may gain feedback, evaluate variables affecting training and satisfaction, and improve your overall experience. Currently, volunteers receive surveys from the national office directly after participating in the pre-service training, in Spring to evaluate in-service training, and towards the end of the school year to measure variables related to volunteers’ overall satisfaction with the program. If you decide to participate in additional opportunities like volunteer workshops or the annual national meeting, you will be asked to complete surveys to help improve those events. Local programs may also decide to survey their volunteers for additional feedback and input. We encourage volunteers to take every survey possible to ensure your perspective is heard and so we may be able to make improvements to our program accordingly.
