We describe the emission procedure of monthly budget from an Excel file.
The Excel file to be used must have its own specific structure, it has to be exported from Scrigno, filled in by the operator, converted in a csv file and then imported in Scrigno DB.
All of this it may seem complicated, but it is not. This data loading technique is still the most recommended method, both for simple budgets but especially for multi-level structured budgets (market/channel/contract/rate).
Only after the configuration of default parameters, as indicated at section ‘Monthly budget parameters setting’ of this manual, follow the passages here proposed:
Opening the excel file, it can be possible to proceed with the compilation of the form:
Whatever the type of budget (one or more level), it is always mandatory to fill in the columns marked here highlighted in red n.1,2,13,14,15,16.
- Column 1 – specify the month number of the year
Mandatory- Example: 01= January, 02= February
- Column 2 – Specify the Macro Market Segment Code to which the revenues of the Budget refer
Mandatory – Generally IND (individual) or GRP (Groups). If you want to load a unique, absolute budget data, without the distinction for macro market, we recommend to charge the value in correspondence of one that already insert. For every hesitation on the market / channel / tariff codes to be used, please consult the set up tables (TABLES> RESERVATIONS) or directly the Gp Dati assistance.
- Column3 – Specify the Market Segment Code to which the revenues of the Budget refer
Non mandatory – the specific is requested only if the operator wants to insert a fragmentary budget in more market segment.
- Column 4 – Specify the Market Segment Code to which the revenues of the Budget refer
Non mandatory – the specific is required only if the operator wants to insert a fragmentary budget in more levels, not only for market segmentation but also for channel.
- Column5-12
Non mandatory – The specification of columns 5 – 12 is only required if the operator wishes to insert a fragmented budget on different levels: eg, divided not only by market and channel, but also by origin, nationality, product, tariff, contract, arrangement, type of room sold.
- Column13 – Specify the amount of apartment income for the selected month/macro market
Mandatory – always take into account the VAT register setting in the parameters (see point 3, section 11.11.11.1)
- Column 14 – Specify the amount of restoration income for the selected month/macro market
Non mandatory: it depends if you want to charge an ‘only room’ budget and possibly treat the breakfast, half board and full board budget with the ‘extra’ (as indicated in section Inserting extra budget) or treat the restoration in this case, as a room income.
- Column 15 – Specify the expected presence for the budget plan for the selected month/macro market
Mandatory.
- Column 16 – specify the expected room for the budget plan for the selected month/macro market
Mandatory. The electronic paper can be filled in all its parts and in different times.
During the temporary saving phase of the data, is suggested to the operator not to modify the name of the file automatically proposed by the system.

After ending the fill in, clean the file in every graphic or header part, as follow:
- Delete the header line
Mandatory: select the line number 1 with the header, then click the right button of the mouse and choose ‘Delete line’.
- Delete the informative notes automatically proposed and the header
Mandatory: select all the lines with an informative prospect, then click the right button and select the voice ‘Delete line’.
- Save the file, changing only the extension from .xsl to .csv
File > Save as
NOW THE .CSV FILE IS READY TO BE IMPORTED IN SCRIGNO
- Acces the menu REVENUE > REVENUE ANALYSIS > BUDGET MANAGEMENT > INSERTING MONTHLY BUDGET and select the button ‘Load Budget from file’.
- Search for the file named CRS_STATISTICS_BUDGET_IMP.csv in local disc C:\, then select it and click ‘open’.
When the operation is finished, Scrigno memorize the data from the excel file, but they are qualified as ‘temporary’ not ‘official’.
- From the menu REVENUE > REVENUE ANALYSIS > BUDGET MANAGEMENT > INSERTING MONTHLY BUDGET click the button ‘Set up budget’
For every month, the system checks any previous storage of ‘temporary’ data, in this last phase the options are:
- ‘View existent budget’, the operator can view and partially modify the data previously imported, before go forward saving the operation.
- ‘Create a new budget’, the operator can remove or delete what it was loaded previously in the temporary tables.
In order to make official and definitive the budget data visualized here, click the button ‘save’ and then the button ‘ Generate definitive budget’.
Repeat the operation for every month.
In order to control the definitive data budget already insert, use these printing or video:
- Summarize daily data (questioning the end date of the Month / Year to which the budget is referred ex. 31/12/2014)
- View budget (from menu REVENUE > REVENUE ANALYSIS > BUDGET MANAGEMENT> VIEW BUDGET)
