Temporary delegations for approvals can be maintained in the Windows GUI and Web UI using Delegate Approvals and Force Delegation – for example if an Approver is going on vacation or is on sick leave.

Delegate Approvals can be used to delegate your own approvals. Force Delegation be can be used by authorised users to set up delegations for existing other approvers.


Delegation in the Windows GUI

Delegates are maintained via the Tools dropdown in the Windows GUI.

Select the user to receive the delegations. The start and end date for the delegation period also needs to be selected. Once the Enable Delegation flag is set the delegation is active. All emails will be sent to the delegated user for the selected period. If Receive Notifications is switched on the original user will also receive a copy of the emails.

Force Delegation is the same process, except you must also select the original Approver for whom you are forcing the Delegation.

Note that it is the “Enable Delegation” option that actually makes the delegation active (for the time period defined). When Forcing Delegation, you also still have to check Enable Delegation.


Delegation in the Web UI

Delegations in the Web UI are maintained via the Delegate approvals link in the top-right portion of the screen. Thereafter it is a similar process to the Windows GUI.
