The International Society of Exposure Science (ISES) is committed to providing a safe, inclusive, and respectful environment for all attendees at its meetings. ISES recognizes that incidents of harassment may occur despite our best efforts, and we are dedicated to promptly addressing such incidents. This document provides guidelines for reporting and managing harassing activities onsite at ISES meetings. It outlines the steps to be taken by attendees, staff, and volunteers to ensure a swift and appropriate response to harassment incidents.

Reporting Process:
1. Immediate Response:
a. If you are experiencing or witnessing harassing behavior, prioritize your safety and remove yourself from the situation if possible.
b. If you feel comfortable, firmly communicate to the individual involved that their behavior is unwelcome and ask them to stop.
c. Seek support from friends, colleagues, or staff who can provide assistance or accompany you during the reporting process.

2. Reporting Options:
a. Informal Reporting: If you feel comfortable and the situation allows, you may choose to address the issue directly with the individual involved. However, you are under no obligation to do so and can proceed with a formal report if you prefer.
b. Formal Reporting: To initiate a formal complaint or report, contact any of the following: – ISES conference organizers or volunteers: Look for the conference organizers wearing identifiable badges or seek assistance at the registration desk. – Designated Harassment Response Team (HRT) members: ISES will appoint experienced individuals as part of the HRT to handle harassment incidents. – Anonymous reporting channels: ISES will provide confidential reporting mechanisms, such as a dedicated email address or an online reporting form, to ensure privacy.

3. Providing Information:
When reporting an incident, please provide as much detail as possible, including:
- Date, time, and location of the incident
- A clear and concise description of the incident
- Identification of the individuals involved, if known
- Any evidence or witnesses (if applicable)
- Your contact information (if you wish to be contacted for follow-up)

4. Confidentiality and Privacy:
ISES is committed to protecting the privacy and confidentiality of all parties involved. Information provided during the reporting process will be disclosed only on a need-to-know basis and in compliance with applicable privacy laws.

5. Investigation and Resolution:
a. Upon receiving a harassment report, ISES will promptly initiate an investigation, ensuring a fair and impartial process.
b. ISES will take appropriate actions based on the findings of the investigation. This may include but is not limited to education, counseling, warning, removal from the event, or referral to law enforcement if applicable.
c. ISES will communicate the outcomes of the investigation to the reporter, while maintaining the privacy and confidentiality of all parties involved.

Conclusion:
ISES is dedicated to fostering an environment free from harassment at its meetings. We encourage all attendees to familiarize themselves with these reporting and management guidelines and to promptly report any incidents of harassment. By working together, we can create a safe and inclusive space for all participants to engage, learn, and thrive.
