It is recommended that the registration process for the annual meeting be tied to the ISES membership database. It is easiest and results in a very successful membership campaign and meeting marketing campaign to connect the two processes.

Other special events: It is recommended that the registration system include the special events and Pre-Conference Workshops available. Creating a separate system causes confusion and extra organization to the users and the organizers.

A few other topics to note regarding registration:

  • There are occasions when volunteers, chairs or others may receive complimentary registration. These should be considered exceptions. The budget is closely tied to registrations and an important part of the success of the meeting. The chairs have the autonomy to make these decisions.
  • Refunds may be provided, less a fee for the administrative efforts. It is recommended that sliding dates and deadlines be included in the communication regarding how much and when a refund can be offered.
  • There have been opportunities for attendees to pay later during the registration process. The Annual Meeting Contractors will be required to track these and continue to collect payment throughout the registration process.
  • Presenters should be required to register by a specific date for planning and communications purposes. If presenters do not register on time, they are not guaranteed an opportunity to present at the meeting.
