Telephone Timesheets has the most robust notifications system on the market. When properly configured, the system will perform the functions of a dispatcher watching your schedules and employee behavior and taking action whenever there is an issue that needs to be addressed.
Notification Profiles are used to define the rules such as who should be notified (employee, supervisor, client, vendor, etc.) and when and how they should be notified.
The system will notify supervisors (by text, email, and phone call) when:1. An employee clocks in
2. An employee is late for their scheduled clock in
3. An employee is late for their scheduled clock out
4. An employee clocks out before their shift is scheduled to end
5. An employee misses a mid-shift checkpoint
6. An employee has a GPS sharing issue
7. An employee is late sending a checkpoint
8. An employee clocks in for a job that is not on the schedule
9. An employee submits an incident report or vehicle inspection report
Many of these can be tuned according to the timing you would like as shown here from the Notification Profile edit form.
The system will also notify employees via a phone call when:
1. Employee doesn’t clock in on time
2. Employee doesn’t clock out on time
3. Employee doesn’t submit a checkpoint on time

After you’ve configured your Notification Profiles, you can link them to Jobs using the “Select a profile” drop-down menu in the Job edit form.
Common examples of Notification Profiles:
- Job-specific notification preferences:
Different jobs may have different notification requirements. Simply create a notification profile for each job with the desired settings. In the future, when creating new jobs that have the same notification requirements, you can select an existing notification profile to save time.
- Supervisor-specific notification preferences:
Supervisor A wants to be notified when his employees are late, but not when they check out early.
Supervisor B wants to be notified when his employees are late, and when they check out early. Simply create a notification profile for each supervisor with the desired notification settings and link each of these profiles to the appropriate jobs.
