The two-way text communication system enables communication between employees in the field, and supervisors, dispatchers, and other back-office admins. This includes messages like “Hey boss, I am stuck in traffic and will be 30 minutes late today!”.

The advantage of using this system to communicate include:

  • Supervisors, dispatchers, and back-office admins do not have to use their cell phones for texting. Rather, the employee sends texts to the same toll-free number they call everyday to clock in and out.
  • All text communication is logged in the Telephone Timesheets admin portal.
  • Any text communication to or from an employee who is on the clock will also get attached to their time entry.

Here’s how it works:

1. Each supervisor can choose to have employee emails forwarded. They can also limit this to only their employees by editing the supervisor record using the checkboxes highlighted in this screen shot.

2. When we forward a text message to the supervisor, we include a “Reply” button in the body of the email, making it easy for them to reply.

3. All text communications get logged to the communications log found under Admin —> Comm Log

The system also supports an automated text-based chatbot that employees can use to interact with Telephone Timesheets.

This allows the employee to make requests such as “start my break” or “send me my schedule”.

Here’s how it works:
Employee schedule inquiry Employees can text the letter ‘s’ to Telephone Timesheets at any time to receive a listing of their schedule for the current pay period. In the United States and Canada, employees send a text message to the same toll-free number that they normally call.

Employee break start/end
Employees can text the letter ‘b’ to Telephone Timesheets at any time to start or end a break.

Employee hours worked inquiry
Employees can text the letter ‘t’ to Telephone Timesheets any time to receive a report of the hours they have worked. Our system uses your payroll reports to determine the pay period- if you do not have any recent payroll reports, we’ll send them the hours worked in the last 30 days. To view hours for the previous pay period, employees can text ‘tp’ . In the United States and Canada, employees send a text message to the same toll-free number that they normally call.
