You can create a new contact by either using the icon in the upper right corner or use the in the lower left corner of the Contacts section of the portal.

This will bring you to the Add Contact/Organization form where you can enter the Contact/Organization Name, Organization Type, Contact Info, and other details.

Highlights of These Forms:

Contact Form

First Name
First name of the contact. It is OK to have more than one contact with the same first name.

Last Name
Last name of the contact. It is OK to have more than one contact with the same last name.

Display Name
When entering a contact’s first and last name, their display name will auto-fill. However, you can enter a custom display name in this field. This is especially useful if you have 2 contacts with the same first and last name. For example, if you have two conacts with the name James Smith, but one of them goes by Jim and the other goes by Jimmy, you could customize their display names to be Jim Smith and Jimmy Smith.

External ID
An External ID is that is already in use in an external system, such as a payroll system. The External ID can be entered here manually or in some cases the External ID can be synced automatically with a third party system (e.g. ADP).

Phone Number
This is where you can add your contacts mobile number. This is used to get ahold of your contact via call, text, or click-to-call/text.

Email Address
This is where you can add your contacts email. This is used to get ahold of your contact via email or click-to-email.

Notes
Here, you can create any notes that may be important information relating to this contact.

Add Address
This is where you are able to add a contacts address. In order to do so you will need to click add address + to add a field for an address. This is optional if you’d like to store this information in Telephone Timesheets.

Enable Phone Notifications
When enabled, you will be able to notify a contact via phone call. If this option is disabled, you will not be able to notify that contact via phone call.

Enable Text Notifications
When enabled, you will be able to notify a contact via text message. If this option is disabled, you will not be able to notify that contact via text.

Enable Email Notifications
When enabled, you will be able to notify a contact via email. If this option is disabled, you will not be able to notify that contact via email.

Organizations Form

Organizations are used to organize individual contacts into groups. Organizations can be either clients or vendors.
Name
Here, you enter the organization’s name.

Type
Here, you select whether the organization is a client or a vendor. Categorizing organizations is useful for reports.

External ID
An External ID is that is already in use in an external system, such as a payroll system. The External ID can be entered here manually or in some cases the External ID can be synced automatically with a third party system (e.g. ADP).

Notes
Here, you can create any notes that may be important information relating to this contact. For example, if multiple contacts are linked to an organization, you can note who to contact first.

This is where you are able to add an organization’s address. In order to do so you will need to click add address + to add a field for an address.

Base Pay/Bill Rate
This is the rate which will be used when calculating the client/vendor pay amount when no job-specific rates are defined for this organization.

Enable Phone Notifications
When enabled, you will be able to notify that organization via phone call. If this option is disabled, you will not be able to notify them via phone call.

Enable Text Notifications
When enabled, you will be able to notify that organization via text message. If this option is disabled, you will not be able to notify them via text.

Enable Email Notifications
When enabled, you will be able to notify that organization via email. If this option is disabled, you will not be able to notify them via email.
