Create a sales wave pick

In this article, you will learn how to create a sales wave pick in SwiftCount.

Why you will need this:

SwiftCount allows you to create sales wave picks so that your team can be efficient and pick, pack and ship as many sales as possible by making fewer trips to the different locations in the warehouse and by consolidating the packing and shipping process.

What you will need:

  • Create individual sales, or import sales from a supported integration.
  • Make sure to refer to the relevant sections in this manual for instructions on how to create sales orders before proceeding.
  • Note: Sales wave pick is only available under the Essentials and Enterprise plans.
  • You will also need access to the Web portal. In future releases, we will allow sales waves to be created in the mobile devices on the fly.

Step One: Load the Sales Module

To begin creating a Sales Wave Pick, you first need to access the Sales module in SwiftCOUNT.

On the left side menu of your screen, locate and click on the Outbound button, as shown in the image below. This button will load the section where all your outbound sales orders are listed.

Once you’re in the Sales module, you will be able to select or filter the sales orders that will form your sales wave. Continue to the next step to learn how to group these orders into a wave.

Step Two: Click on the Sales Wave Pick Button

Once the Sales module has been loaded and you see your list of outbound sales orders, the next step is to initiate the wave picking process.

Locate and click the Sales Wave Pick button at the top of the screen. This button will take you to the section where you can group sales orders into a single wave for optimized picking.

In the following screen, you’ll be able to start selecting the specific orders that will be part of the wave. Continue to the next step to proceed with building your sales wave.

Step Three: Create a New Sales Wave Pick

After accessing the Sales Wave Pick section, the next step is to start a new wave. This will allow you to group several sales orders into one picking operation.

Click on the Create New Sales Wave Pick button located at the top of the screen, as shown below.

This action will take you to the selection screen where you can begin choosing which sales orders to include in your new wave. You can filter them by date, customer, tags, and more to ensure the wave is built efficiently.

Step Four: Select the Appropriate Warehouse (Space)

Before selecting sales orders for your wave, you must first ensure the correct warehouse is selected. This allows SwiftCOUNT to filter and display only the sales that belong to that specific warehouse.

If your company has only one warehouse configured, the system will automatically select it. Otherwise, use the Space dropdown located at the top right of the screen to manually select the appropriate warehouse, as shown in the image below.

Once the space is selected, SwiftCOUNT will display all active sales orders associated with that warehouse. You can now proceed to select the ones you want to include in your wave.

Note: Only active sales will be listed. Sales can be fully open, partially picked, partially shipped, or even already included in another wave. SwiftCOUNT gives you the flexibility to manage them your way—whether you want to add them to a new wave, partially pick them, or complete them later individually or in another wave.

Step Five: Filter and Select Sales to Include in the Wave

Once the list of sales for the selected warehouse is displayed, SwiftCOUNT offers several tools to help you find and select the appropriate sales for your wave.

Below are the available features you can use to refine your selection:

  1. Search Box: You can type or scan a specific sale number directly into the search field to quickly locate a sale.
  2. Advanced Filtering: Use the advanced filtering icon to add more specific criteria (e.g., customer, date, tags).
  3. Sortable Columns: Click on any column header (e.g., Outbound Date, Customer) to sort the list accordingly.
  4. Pagination: Navigate through multiple pages of sales using the pagination buttons at the bottom.
  5. Items per Page: Adjust how many sales you see per page to improve visibility and selection speed.
  6. Sales Counter: You’ll always see how many sales are currently being viewed versus the total available for this warehouse.
  7. Select All: Use this button to select all sales currently visible under the applied filters.
  8. Remove All: Click this to clear all selected sales and start a fresh selection.
  9. Manual Selection: Click the + icon next to each sale to manually include it in the wave.

These tools allow you to quickly gather and organize the exact group of sales you want to include in your wave. Once you’ve finished making your selections, click the red Continue button at the bottom right to proceed to the next step.

Note: In this first release of Sales Wave Pick, only manual selection of sales is supported. We are actively working on adding advanced automation features that will allow sales to be automatically added to a wave based on custom criteria or specific conditions. Stay tuned — this functionality is coming in future updates.

Step Six: Select at Least Two Sales and Continue

To proceed with creating a Sales Wave Pick, you must select at least two sales. Creating a wave with only one sale would not serve a practical purpose, since that sale can be picked and shipped individually without the need for a wave.

Selected sales will be marked with a highlighted icon next to each one, as shown in the image below. Once you have selected two or more sales, click the red Continue button located at the bottom right corner of the screen.

Clicking Continue will move you to the final step of the Sales Wave creation process, where a summary of your selected sales will be presented. This summary allows you to review and confirm everything before completing and generating the Sales Wave Pick.

Step Seven: Sales Wave Summary and Confirmation

Before completing the creation of your Sales Wave Pick, SwiftCOUNT will present a summary screen so you can review the details and ensure everything is correct.

This is your opportunity to verify that the right sales orders were selected and all data is accurate. If you need to make changes, you can always click the Sales Wave Picks Listing button at the top left of the screen to go back and make adjustments.

The summary includes the following key information:

  1. Sales Wave Number: A unique, sequential number prefixed with WP- indicating it is a Wave Pick.
  2. Creation Date: This defaults to today’s date and reflects when the wave was generated.
  3. Sales Included: A clickable link that shows the list of all sales added to the wave.
  4. Items Included: The number of unique products in the selected sales, along with the total quantity of each item summed across all orders.
  5. Space: Indicates the warehouse or space to which this wave belongs.

Once everything has been reviewed and confirmed, click the red Finish button on the bottom right to officially create the Sales Wave Pick and move forward with the picking process.

Step Eight: Review the Sales Wave Details

Once the Sales Wave has been successfully created, you will be redirected to the Sales Wave Details screen. This view provides a complete summary of all products included in the wave, along with their corresponding quantities to be picked and shipped.

Each item is listed with its part number, description, unit of measure, quantity ordered, quantity already shipped, and remaining quantity to be fulfilled. This gives you full visibility of what needs to be picked across all the sales grouped in the wave.

You can now choose to:

  • Assign the Sales Wave to one or more mobile users for picking.
  • Or wait for a mobile user to request the wave directly from the mobile app.

Once the wave is being picked, SwiftCOUNT will guide the users through an optimized process of product collection and automatic distribution of picked quantities across the corresponding sales.

Note: The next steps of executing the Sales Wave Pick on mobile, packing, and distribution of picked quantities will be illustrated in detail in other articles of this manual.
