In this article, you will learn how to check count progress & reports.

You might want to check-in on the progress of the count in real time… When the count is completed, you will be able to check reports and make the decisions you need (like assigning recounts, updating new product quantities to your POS or Accounting package, etc).

Step 1: Check counts progress

Go to the “Count” module on the left banner
On this page, you will see all your counts created, their status and their percentage of completion.
The count can have an “Active” status that mean that the count has not started yet or is not finished/completed as of yet. The “Complete” status means that the count is finished.

The percentage of completion tells you the advancement of the count (in terms of the amount of items counted: how many items have been counted vs how many items are left).

Print the “Status Summary Report”
Click “Reports” button on the top banner
Click “Status summary”

On this report, you can review the counts’ status, their percentage of completion and their percentage of accuracy.

The percentage of accuracy shows how many items were counted in total vs how many items were originally thought to be there.

Step 2: Check details count progress and reports

Click the “View” button (right side of the count).
On this page you will see detailed information about the count (the status, the number of items included in the count, the percentage of discrepancy and accuracy and the different dates of the count: created, started-on and last-counted-on)

SwiftCount records automatically when a count is started and when the last item is counted, allowing you to review the time variance between start to finish.

The “Last Counted on” updates every time a count is finished. If you click on the view button and the count has not been started yet, the “Started on” and the “Last Counted on” options will be empty.

When the count is completed and adjustments have been posted, the quantities for the items counted will be set to reflect the new inventory levels. The count will be archived for future analysis, history and stats.

Select the list of products you want to review “All products”, “Counted products” or “Uncounted products”
On this page, you will see the discrepancies of the count.
The discrepancy is the difference between what you counted and the initial quantity (on hand).

Option #1: Print “Discrepancy Report”
Click the “Reports” button on the top banner
Click “Discrepancy report”

The discrepancy report is a detailed report focusing on quantities counted vs the initial quantity (on hand).

Option #2: Print “Detail Discrepancy” report
Click “Reports” button on the top banner
Click “Detail Discrepancy report Excel”


Discrepancies Including Non Counted Items


Detail Discrepancy Report will show you the detailed information of your products with their discrepancies according to the count performed. You can generate this report with all products or just the counted ones

Only Discrepancies for Counted Items

Option #3: Print “Total Discrepancy” report
Click “Reports” button on the top banner
Click “Total Discrepancy Report Excel”

This report will show you general information of the counted products focusing on monetary discrepancies

Option #4 – 5: Non-Scanned items Report (Excel and PDF)
Click “Reports” button on the top banner
Click “Non-scanned items report excel” or “Non-scanned items report PDF”
This report will list for you all the products that you didn’t scanned or you haven’t scanned yet

Option #6-7: Count Stock Status (Excel and PDF)
Click “Reports” button on the top banner
Click “Count Stock Status PDF” or “Count Stock Status Excel”

This report works as a summary of how the stock of the counted products will look like after processing the count
