Below is a checklist of all the things you need to do as soon as you get elected in the role as treasurer for the association:

  1. Arrange a handover meeting with the outgoing treasurer (if possible).
  2. Check details of all bank accounts and all signatories.
  3. Swap signatories straight away. Get the forms from the bank and take them to the annual meeting.
  4. Check details of credit card or spending authorisations and organise for the return of outstanding cheque books or cards.
  5. Check who has the financial files and get all documents and budget information, including special events budgets and details of purchases.
  6. Make sure you have a master copy of your financial procedure’s manual.
  7. Organise for a briefing from the outgoing treasurer detailing any spending commitments or incomings not included in budget papers.
  8. Prepare a timeline of upcoming payments and dates when bills (insurance/rent/car) are due.
  9. Once you have done your first budget statement, see if you can check with the outgoing treasurer that nothing is missing.
  10. Respond and re-direct any outstanding correspondence.
  11. Familiarise yourself with past committee meeting minutes to understand the decision making and voting process.
  12. Arrange access to the following:
    • ATO access on behalf of the club.
    • Government Fairplay portal.
    • Online book-keeping systems (i.e., Quickbooks or MYOB)
  13. Plan to have all financial matters closed and reconciled ASAP at the end of the FY. Organise the independent audit ASAP. Have the audited statements available for presentation at the AGM
