The purpose of committees and panels is to support the decision-making process within the organisation by providing a forum for discussion, research and analysis of specific issues or projects. From those discussions, it is common to see action items minuted, which are specifically assigned and time-bound tasks that ensure accountability and progress.

Action items are essential for turning discussion into meaningful progress; they ensure that ideas, risks and decisions raised during meetings do not get lost or forgotten. To keep track of items assigned during meetings, it is important to maintain some form of action item tracking, ideally this is done within the meeting minutes to keep the details in an easy to locate place. Action item tracking is important to:

  • Monitor progress on action items assigned during meetings
  • Provide updates on the status at subsequent meetings
  • Remind members of deadlines and help facilitate follow-through

Effective action item management is not simply an administrative task, it is a core governance practice that strengthens transparency, ownership and performance, which in turn positively effects the Club or Branch.

All committee members should keep the below in mind:

  1. If an item remains outstanding, it should be carried forward until fully completed or resolved.
  2. If priorities change, it needs to be formally noted in the minutes and adjusted on the action matrix to avoid any future confusion.
  3. If an action item requires support, the responsible person should request assistance early.
  4. Consistency is key – regular tracking builds trust, discipline and reliability.

If there is an overwhelming amount of action items, it can become unmanageable and the Club or Branch should either dedicate more time in the scheduled meeting or have an in-between meeting review. The Club or Branch members should review each action and prioritise for completion based on Risks to the organisation/ Strategic Priorities.

Overall, action items and ensuring members are accountable to them encourage open communication, strengthens governance maturity and supports long-term sustainability of the Club or Branch.
