The Main Calendar page is the hart of daily operations. In order to have the optimal overview, the page can be set to personal preferences. The Filter bar can be minimized (by clicking the left arrow) and the Sidebar can be hidden (by clicking the ‘eye icon’).This can also be done in one go, by clicking the ‘arrow icon’.
When clicked, the calendar is full screen and can show the most information.
When the calendar is on ‘Dayview’, this also an option. But for Dayview also the option is given to either spread the rooms over two columns or list them in 1 column, thus presenting even more flexibility. Changing between the views can be done by clicking the ‘Column icon’ next to the print button.

Displaying Reservation

On the Calendar all assigned Reservations are shown. Reservations have different statuses and the colorcoding per status can present a quick overview. The colors used are:

Reservation status Color Remarks
Checked-in Blue
Reservation Red
Optional Booking Yellow
Blocked Brown
No Show Grey Another reservation can be assigned to the room
Checked Out Green
Waiting List Green-Blue
Allotment Purple Allotment is only used within the previous Roomer PMS
Cancelled No color Cancelled Reservations are not displayed on the calendar, only in the sidebar

Reservation details

On the reservation in the Calendar a number of details is shown with Icons. This to give a quick overview of the reservation, the details or editing is easily done by clicking the reservation. A new window with the Reservation Overview will open. Note: by hoovering the icon a description is given.

These are the Icons and information on the reservations:

‘invoice’ Is displayed in case of a group reservation Indicates that the reservation belongs to a Group Reservation, in the screenshot displayed in the red reservation on the right
‘Channel’ Displayed the Channel the Reservation was made on When made by the hotel, the Roomer logo is displayed. In the screenshot Booking.com is used as an example

Changing Reservations on the Calendar

In the Calendar view the Reservations can be changed:

Assinging and Unassigning a Reservation

Reservations on the Calendar are assigned to a specific Room. Assigning can be done during the Reservation process, by editing the Reservation or from the ‘unassigned reservations’ in the Sidebar of the calendar. Using the ‘Unassigned reservations’ is very easy and quick:

  1. make sure the ‘Unassigned Reservations’ is selected in the Sidebar
  2. click the reservation that needs to be assigned
  3. keep the left mouse button pressed
  4. drag the reservation to the desired Room (row)
  5. release the mouse button
    1. the reservation is now assigned to the Room
    2. There is no need to go to the actual arrival date, the PMS will assign the Room automatically to the correct dates.

When a Reservation needs to be unassigned, for instance to free up a specific Room, the reservation can be changed in the opposite way. So by editing the Reservation or by dragging the reservation to unassigned:

  1. make sure the ‘Unassigned Reservations’ is selected in the Sidebar
  2. click the reservation that needs to be unassigned
  3. keep the left mouse button pressed
  4. drag the reservation to the ‘Unassigned Reservations’ list
  5. release the mouse button
    1. the reservation is now in the list
    2. the reservation is no longer assigned

Assigning the Reservation to a different room (type)

Every Reservation on the Calendar can be changed/assigned to a different Room (also when the alternative Room is a different Room Type), by simply ‘drag-and-drop’:

  1. click the reservation that needs to be assigned to another Rooms
  2. keep the left mouse button pressed
  3. drag the Reservation to any other (vacant) room
    1. when dragging the Reservation is transparent
  4. release the mouse button when the reservation is on the desired room
    1. When a different Room Type is selected then the one in the Reservation, the PMS will prompt with a warning to ask if the change is really desired
    2. Click yes in the warning to close it
  5. the change is completed

Changing the stay dates

In order to change the stay dates of a Reservation, this can be done in the PMS by ‘edit reservation’, but also directly in the Calendar:

  1. The Reservation needs to be assigned to a room and the Calendar needs to be opened (not the dayview)
  2. Hoover with the mouse cursor over the left or right side of the reservation
    1. the Cursor will change in the icon in the screenshot
  3. Click and hold the mouse button
  4. drag to the right to change the departure date
  5. drag to the left to change the arrival date
  6. release the mouse button
    1. the PMS will display a warning that the dates have changed
      1. choose to accept ‘ok’ (the rates are automatically used as on the Rates & Availability Calendar)
      2. to change the used rates, click ‘edit reservation’
  7. the Reservations’ stay dates have been changed
