Confirmation is the process that ensures users assigned to an object through RASCI-VS roles are notified, via EPC and email, and acknowledge any changes once that object is published. It ensures that all impacted personnel have read and understood updates to corporate policies, procedures, or responsibilities.
In this topic, we’ll discuss how to confirm objects, the confirmation process for new employees, and how to customize who confirms.
How does Confirmation work?
- A confirmation task is automatically added to each user’s To Do module, prompting them to review and confirm the object.
- Organizations can configure whether or not users can mass confirm objects. For more information on mass confirmation, click here.
- Click on the desired confirmation task to be navigated to the object.
- Open the “Confirmation Required” box.
- Click on “Show Changes Since My Last Confirmation”.
- This will highlight all the added or removed information, making the review of updates easier.
- Go back to the box, input a comment, and click on “Confirm”.
- The confirmation task is complete.
Confirmation for New Employees
If new employees are later added to roles associated with already published objects, they automatically receive confirmation notifications and tasks. This allows them to acknowledge their responsibilities without needing the object to be republished, enabling faster onboarding and ensuring continuous compliance.
Customizing Who Confirms
Organizations have the flexibility to customize which users receive confirmation tasks using RASCI-VS.
System Admins can modify the RASCIVS_CONFIRMATION field in the Advanced settings to responsible, accountable, support, consulted, informed, verifier, and/or signatory.
