The Versioning section provides users with additional key information about objects. It is divided into two accordions:

  1. Current Version
    • Displays the version being viewed and the date of the latest modification.
    • Displays information about the latest published version’s completed approval and endorsement cycles.

  1. Version History
    • Provides detailed information on previous versions of an object, tracking all modifications, approvals, and publications.
    • The grid includes the following columns:
      • Version Number: Displays the current and previous version numbers of the object. Clickable links to previous versions allow users to browse and revert as needed.
      • Status: Shows the current state of each version (e.g., In Progress, Published, Approved).
      • Cycles History: Displays the approval and endorsement cycle history for the corresponding version.
      • Author: Indicates the user who created or modified the version.
      • Date: Shows when the version was created or last modified.
      • Published Comment: Captures the comment added during the publication process.
      • Approval Request Comment: Captures comments made when the object was sent for approval.

Understanding Version Numbers

Version numbers help users track changes and manage versions effectively. Here’s how the numbering system works:

Version number format Version Type
.0001, .0002… Saved draft versions
.0100, .0200… Minor versions published
1.0000, 2.0000… Major versions published

Version History Visibility Rules & Configuration

This feature controls who can see an object’s full version history, ensuring users access only the information appropriate to their role.

Permission Rules

Users with Read Published permission:

  • See only the most recent published version of the object.
  • Do not see the Version History accordion.
  • Cannot access draft, in-progress, or previously published versions.
  • Always view only validated, finalized, audit-ready content.

Users with Read Latest permission:

  • See the full Version History, including all previous versions and draft/in-progress versions (subject to other permissions).
  • Continue to see the Version History accordion even when viewing content in Published mode.
  • Can navigate to older versions, compare versions, and revert when allowed.

System Configuration

This feature is enabled by default. If your organization prefers to display the full version history for all users, System Admins can set the LEGACY_RESTRICT advanced setting to false.
