Organizations now have the power to define dynamic conditional rules for categories and approval workflows, creating a more streamlined, efficient, and adaptable process. With this new feature, you can:

  • Automate approval workflows by determining which roles or resources are required for approval based on selected categories.
  • Control attribute visibility by defining which attributes are mandatory, optional, or hidden based on related category values (e.g., internal, compliance, etc.).

By automating these processes, you can enhance collaboration, improve governance, and maintain the completeness of important attributes, all while simplifying workflows and ensuring compliance with organizational standards.

Key Benefits

  • Streamlined Information Completion: With clear guidance on which attribute fields need to be completed, users can navigate through workflows more easily, reducing confusion and enhancing productivity.
  • Ensured Compliance: Mandatory fields are automatically validated before publishing or approval, ensuring that all critical information is captured and correctly maintained.
  • Enforced Governance: Approval workflows are dynamically tailored to the specific categories of the document or object, ensuring that the right people review and approve content in line with organizational policies, all automated.

How It Works

In the Define Category Conditions and Approval Workflows table, located under the Attributes tab in the Environment Admin section, all categories are displayed along with their applicable object types.

  • Approval Cycle: Assign roles and resources that automatically join or leave the approval cycle based on the selected category. This ensures the right approvers are always included without needing to manually adjust the workflow.

  • Value Conditions: Configure rules that control the visibility and requirements of UDAs based on the category.
    • Mandatory: Marked with an asterisk (*), these attributes are mandatory for users to complete.
    • Optional: Displayed without restrictions, users may fill them in if applicable.
    • Hidden: These attributes are not displayed, minimizing irrelevant fields.
