User Access Review Process
Every May and November, the User Access Review process will occur during the first three weeks of the month. When the primary contact, or a user that has been assigned a User Access Reviewer role by the primary contact, logs in to FormsNet3 (FN3) in-app guidance will indicate that the review period has begun.
The user may select to navigate to the User Access Review page or dismiss the message. If the message is dismissed, the user will be prompted every 7 days afterwards. The user can also navigate to the User Access Review page by selecting the Admin tab > User Access Review.
If the reviewer tries to navigate to the User Access Review page when a review is not in process, the user will receive the following message:
If the reviewer has access to the review page, but the user was not included in the user access sync process, the following message will display:

A common cause for this message is a new users role was added after the review process was initiated.
When the user navigates to the User Access Review page, it will display a card for the center(s) that the user has access to review. Each card contains the users with access to FN3, CIBMTR Portal and/or CIBMTR Reporting App at that particular center.
When the user selects the card, it will navigate the user to a grid with the name of each user and which application(s) the user has access to.
For each user, the reviewer should confirm whether the user continues to need access to the application(s) indicated for them. Selecting the green checkmark confirms that the user should retain their access to the application. Selecting the red X confirms that the user should have their access removed. When indicating that access should be removed, the reviewer will also need to provide a reason.
As the reviewer makes selections, the icon selected will be highlighted.
The reviewer may save the selections at any time and return to the User Access Review page later. If the grid has more than one page of users, the reviewer MUST save each page before navigating to the next page to prevent loss of data.
Once the user has completed the review process, the submit button should be selected. Once the submit button has been selected, the user will confirm that the selections should be submitted and a final validation will occur to ensure each user’s access at the center has been completed and all necessary data has been collected.
If upon submission there is an unverified user, the system will filter down the list and show only the remaining unverified user(s).
Once all selections are submitted, the grid is locked and can no longer be edited. If any additional changes are needed after the submission, a ticket to CIBMTR Center Support should be created.
