Navigation: From the Main Menu select Setup Entry and press the Employees button. Then select the Scheduler Setup tab.

Within the Scheduler Setup tab, you can customize a number of items that are found in your Scheduler, such as Labor departments, default hours, and the most common time a customer may come pick up their vehicle.

Setting up Labor Departments

The Labor Departments that you set up here will be the departments that are available in the scheduler to have appointments assigned to them. You can define up to six departments. These should represent the service work your shop typically performs. Give each department a meaningful name and try not to abbreviate unless you need to. After setting these, every Labor Item should be assigned one of the departments. This is done in Inventory Entry.

Color

To assign a different color per department use the drop down box. Select one of the basic colors or you may use a custom color. Select colors that look different from each other and are easy to identify.

Default Hours

Here you can select the default hours for a typical job in each department. For example, if you assign 0.5 hours to the Lube department, the rep can just click the Lube button in the Schedule window to set a half hour lube appointment. The rep can then adjust the hours as desired.

Sorting the Departments

Once the departments have been chosen, you need to decide on the order in which they are usually performed. For example, would an alignment usually be done before a brake job on the same workorder? If so, the Alignment Department should be sorted before the Brake Job department.

  • Set up the department names by entering them in the boxes on the left (as described in the section above.)
  • Press the Clear Sort Order button
  • Double-click on the department to be the first one in the list, next select the department you would like to be second on the list, and so on.
  • Press the Save changes button.

Most Common Time for Customers to Pick Up Vehicles: What is the most common time that your customers come to pick up their vehicles? This time can be put on all new workorders and can be changed, either in the body of the Workorder, or in the Workorder Status window.

Normally have Jobs Last Multiple Days? If you have jobs that typically last more than one day, check the radio box.

Number of Bays: Appointments can now be assigned to a particular bay number, set how many bays you have available and they will appear as options both in your scheduler and in your workorders.

Sync Appointments with Google Calendar: The AutoFluent Scheduler can also be synced with your Google Calendars, check this box to begin the process.
