Navigation: Click Sales Report from the Main Menu, then click Mechanic Tracking.

Here you can track the various jobs your mechanics have finalized, adjust the hours, and print your Mechanic Efficiency Report.

Viewing

  • Change the date range in the top to specify which entries to view.
  • If you have your mechanics clock in on jobs, you can click Include Chores to see what non-invoice-related jobs they have done.
  • Click on the headings of the grid to sort the list forward or backward by a given column.
  • Click Preview Invoice so see the invoice corresponding to the selected row.
  • Click Refresh if you think changes may have been made on another workstation since opening this window.

Editing

Every job that has been finalized, and which has both hours and a Mechanic assigned, will appear on this list. The Billed hours comes from the workorder. The next hours column will be the same as the billed hours, unless you are having your mechanics clock in and out on jobs, in which case it will reflect their actual hours. In either case, you can:

  • Edit the hours of the main mechanic
  • Select up to two additional mechanics who helped on the job, and enter their hours as well.

In case of mistakes made during workorder entry, you can add and delete these lines.

  • The New button will let you create an entry and assign it to a finalized invoice.
  • The Delete button will let you remove entries from this list.

Print Report

Click this button to generate your Mechanic Efficiency Report based on these entries. There is a variety of options, such as selecting any date range, hiding dollar amounts, and printing separate pages for each mechanic.

Mechanic Tracking with the Mechanic Punches Mode

When you let mechanics clock-in to jobs, the Mechanic Tracking window slightly differs than the other modes.

Viewing the Jobs

  • Use the drop-downs to choose the date range.
  • The arrow buttons may be used to navigate through dates.
  • You can check the View 1 Day Only? checkbox if you would like to only see 1 day.
  • If you would like to change the view, you can choose between Use Transaction Date or Use Punch-In Date.
    • If the transaction is still an open Workorder, the date that it was created will be the Transaction Date. Otherwise, it will be the Invoice date.
    • The Punch-In Date comes from the very first punch for that job.
  • Select between View Service and View Chores.
    • If View Chores is selected, you have the ability to create new chore hours for a mechanic by clicking New Chore.
  • Mechanics Drop-Down: Select a specific mechanic here to filter the jobs shown.
  • Preview: Preview the transaction you have selected.
  • Refresh: Refreshes the window.
  • Reports: Prints the Mechanic Efficiency Report.

Editing Punches

The Mechanic Tracking window is one of the places where you can edit punches, as covered in Mechanic Punches. To edit a punch, click on any of the jobs to bring up the pop-up window.
