Navigation: From the Setup Entry menu, select the System Settings button. Then click the Invoice Copies tab.

Here you can specify how you would like your workorders and invoices to look and how you would like them to print. If you have multiple store locations, these settings only pertain to the store to which you are currently logged in.

Customizing Invoice Copies

For each copy you want printed, you will enter a name for the copy underneath each header. For example if you want both a customer copy and shop copy printed when workorders are made, enter Customer Copy and Shop Copy on two of the lines under the Workorders header.

  • Colors: Select the color you would like for each copy.
  • Cat: Check this box if you would like catalog numbers of parts to be hidden for a particular copy.
  • Workorders: This column has the headings for workorder copies.
  • Shop: Check this box if you would like the hours for labor items to be displayed but no prices for a particular copy.
  • Cash Invoices: Column has the headings used whenever a non-charge invoice is printed.
  • Charge Invoices: This column has the headings used whenever a charge invoice is printed.

Settings

There are many other ways you can customize your copies to suite your company’s needs. From Previewing a Workorder/ Invoice copy instead of auto printing, to allowing for a longer company name, each of these settings is self intuitive and easy to understand. Customize as you see fit and press the Save button when done.

  • Changing Printer: By default, the copies will be printed ON whatever printer is set to default on your computer. However, if you would like to use a different printer, press the Change Invoice Printer button, and enter the name of the printer exactly as it is listed on your computer’s Devices/Printer window. Also enter the name of the computer the printer is connected to. If you would like different printers for invoices and workorders you may enter each printer’s individual information. Press the Save button when completed.
  • Invoice Style: Select the style of invoices and workorders that best fits your company. The most popular style is Parts & Labor, but feel free to try out any style to see what works for you. After you have selected a style press the Save button, and preview a workorder or invoice to see how the style will look.
  • Print Special Pages for Workorders/Invoices: If you would like a special page to print with your invoices like a torque sheet or thank you page, use the box with the to select an image from the AutoFluent graphics folder, and check the box.
  • Changing Total & Taxable Subtotal: If on the printed invoices you would like a different expression to be used other than the default “Total” and “Taxable Subtotal”, manually enter the terminology on each line.
