Navigation: The inventory search appears in several places in AutoFluent, making it easy to access.

  • From Sales Entry: Press the Search button found at the bottom left of the Sales Entry window.
  • From a Workorder or Quote: Press the small magnifying glass icon on a workorder line.

Once the Inventory Search window is open, you will be able to view all non-obsolete items in your inventory. There is also an option to view obsolete items with the Display Settings button. If you are a Multistore user you may also use the Display Settings button to enable viewing the available quantity of items at your other locations.

You can click in any of the yellow cells over the headings (or you can use the Tab key and the Shift-Tab key to move between them) and enter additional criteria.

Options

Select

This button selects the item and closes the window. The selected item is the one that the triangle on the left edge is pointing to. Pressing the Enter key on your keyboard automatically pushes this button.

Select and Continue (If on an open Workorder or Quote)

This button allows you to select an item, choose the quantity to add onto the workorder or quote, and keeps Inventory Search open to allow you to add another item quickly after.

Cancel

Closes the window without selecting anything. Pressing the Escape key on your keyboard pushes this button.

Find Group

You can show a list of items from a specific Item Group with this button.

Tire Calculator (Tire Module option required)

Press this button to gain access to the Tire Calculator. This is a very useful tool for graphically comparing original tire sizes and new tires sizes. This button will be available if you have purchased the Tire Module.

Tire Guide (Tire Module option required)

Press this button to access the Tire Guide where you will be able to select the year, make and model of a particular vehicle and find all of the information for that vehicle’s particular tire size, psi etc. You will also be able to select these tires from your inventory or from the Vendor Catalog (see below).

Alternatives

If alternative part numbers have been set in the Vendors tab of Inventory Entry you can search by the alternative part numbers here.

Display Settings

Press this button to gain access to additional columns or items that you would like to view in the inventory search. You can also check the radio boxes to show cost on items or to even show obsolete items. Press Done to save the change or press the Return to Default Settings to return to factory settings.

In Stock

Check this box, and the only items shown will be those that are in stock.

Long View

This allows you to see more items at once by hiding the bottom section. Uncheck the box to return to the normal view.

Show All

Press this button to see all of the items in your inventory.

Clear

Press this useful button when you have entered some search criteria and want to start over and enter different criteria.

Vendor Part #

Displays a list of items with a specified Vendor Part #.

Vendor Catalog

If you are interfacing with one or more tire suppliers, or if you have imported catalogs from spreadsheets, you can view them with this button, and pull the selected item into your workorder.

Your Web Photo

If you have a website, the image associated with this item can be viewed with this button.

Scan

If you are using a barcode scanner, you may scan the UPC code to bring the item up quickly. Simply press the Scan button.

Tabs

Details Tab

  • Available/On Hand/On Order:
    • On order refers to how many of the selected item are on purchase orders.
    • On Hand indicates how many of the item are physically at the shop.
    • Available indicates how many items you have that are free and not attached to any orders. If you have 6 on hand, and 2 available, it means there are 2 on workorders.
  • Catalog Cost / Last Cost / Average Cost:
    • The Last Cost is the cost of the last purchase.
    • The Average Cost is the average of all the items currently in stock.
    • The Catalog Cost is typically the only cost you will update, and is the cost you expect to pay on your next purchase.
  • Price Level Button: Here you will see the various price levels. There are 12 fixed price levels, and unlimited custom price levels available. You can choose which are available at your current store in the Price Levels Setup window. The price in the top grid will depend on the price level selected in the bottom section. Click the Price Level button of the desired price, and the price will turn yellow, indicating that it has been selected. If you opened this window from within a workorder, the price level of the selected customer will be used.

History Tab

Here you can see the purchases and sales of this item, along with whom they were purchased from and sold to.

Workorders Tab

If any of these items are already on workorders, the Available quantity will be different from the Quantity on Hand. Click this Tab to see which open workorders they are on.

Notes Tab

This is a free-form area with any special notes pertaining to this item.

Other Stores Tab

If you are multi-store, this shows the item’s quantity on hand for each location. From here, you can request and send transfers as well.

Bins Tab

If the item is associated to bins, you can view them here.
