Navigation: From the Main Menu select the Inventory Entry button and select the Details Tab.

The following information applies to the parts and labor types of the inventory.

Within the Details tab, you can set costs prices for your parts and labor. Other things that can be customized in this tab are as follows:

Next Linked item

Press the to select an item to link to this item in your inventory, so that every time this item is entered into a workorder the other item is added on the next line. For example, if you have a tire package set as the Next Linked Item for your new tires, you will be able to enter a tire into a workorder and quickly have all labor, fees, warranties etc. added as well.

Item Group

Every inventory item (with the exception of packages and comments) must be assigned an Item Group. This serves two main purposes:

  • It lets you see sales summaries on the Daily Report. For example, say you have 30 different oil filter inventory items and you assign them all to a group called Oil Filters. The Daily Report will show you how many oil filters you sold that day, month, year and previous month. It will also show you what you sold them for, the profit margin and the profit amount.
  • The Item Groups also tell AutoFluent how to post your sales and purchases to the General Ledger. Each Item Group is assigned one or three accounts from your accounting software, When the Daily Report is posted, the sales and purchases will post to these accounts in your accounting software.

Bolt Pattern (customizable)

Optionally, you can enter an item’s bolt pattern here. If you prefer, you can change the name of this field to something more useful to you. This is done in the Inventory tab of System Settings.

Code

You can assign a code to particular part, and through the Inventory Search you can search for all items with that code.

Mfr / Mfr #

Here you can enter the Manufacture name as well as the manufacturer part number. These are optional items that can be entered for reporting purposes. In the Inventory Search window, you can search by manufacturer.

Rep / Mech Commision

If you would like this to be an item that your sales reps or mechanics can receive a commission on, check the boxes. To setup commissions Click HERE.

Available / On hand / On Order

If the inventory item is a stocked part you will see these numbers change automatically as Sales, Adjustments, Transfers and Purchase Orders are made.

Vendor Part #

Part number for main vendor, if it is different from the Catalog Number. This number will appear on Purchase Orders.

Vendor

Here you can enter your main vendor for a particular part.

Unit Weight

Optionally you can enter the weight of the item, to appear on your Purchase Orders, and optionally on your invoices.

No Disc

Check this box to disallow discounts or price changes in the workorder window.

Obsolete

Checking this box will make is so that this item will NOT appear in the Inventory Search window, unless the Obsolete option is selected in that window. it is preferable to mark an item Obsolete than to delete the item outright, because the history for the item is still preserved for your records.
