Navigation: From the Setup Entry menu, select the System Settings button. Then click the Marketing / Statuses tab.

Here you can setup the account that you will use to send your send emails and texts from, and you can choose what postcards to use for new customers and reminders. There are three Tabs on this tab:

Email / Postcard Setup

  • Use Email?: Check this box to activate the Email system, and use emails to contact customers
  • SMTP Host/Port: This is the name and port number of your outgoing email server. If you do not know this information, you can contact your email service provider e.g., (gmail, yahoo, hotmail, comcast) to find it. If you are using a common email account like Gmail, the AutoFluent support staff may be able to find this information for you.
  • SMTP Username: Enter your email address here.
  • SMTP Password: Enter your email password here.
  • Email From Address: This will be the email address that will show in the ‘From’ field of the email that customers receive.
  • Email Reply To address: This is the address that customers’s replies will be sent to.
  • Email Helo Host(optional): Use only if specified by email service provider.
  • Template for new Customers: Press the to design or select a template to be used for new customers.
  • Template for Reminder Emails: Press the to design or select a template to be used for reminder emails.

Statuses / Text Messages

Text messages can be sent to customers via the Workorder Status column of the Sales Entry screen. In this tab you can create default text messages when a customer’s status is set to None, Appointment, Arrived, In Progress, On Hold or Completed. You can also create custom statuses for your shop to use.

Text Messaging Setup

Text messaging works by emailing the message to several phone company carriers. Messages sent to incorrect carriers are ignored, while the correct carrier will send the message to the desired cell phone. Although the default list should be fine in most cases, you can add or remove carriers here if desired.

Normally, the Text Message feature will work through the email server set up in the Email / Postcard Setup tab, as described above. If you would like to use a different email server, fill in the left section of this tab and check the box that says Use the following instead of the Email Server defined in the Setup tab.
